Affiliation Policy: Specification of the institutional affiliation for publications

Preliminary remark: aim and purpose
In international academic life, evaluations, bibliometric analyses, international rankings and the creation of reports are largely carried out on the basis of automated processes. International databases (such as Web of Science, Scopus, etc.) are used to access identifiable scientific publications - authors are assigned to the respective institution via the affiliations listed in the publications.
The as near to complete as possible allocation of the provided publication service provided by the members of the university (students and employees) is therefore only given if their affiliation has been correctly specified. Otherwise, some of the research work will simply not be identified and therefore cannot be considered in the course of an evaluation.
Good scientific practice also requires that authors list the institutions at which the research work was carried out completely and correctly.
Principles of correct specification
All employees of the Karl Landsteiner Private University of Health Sciences as well as the scientifically active employees at the University Hospitals of the KL are therefore encouraged to state “Karl Landsteiner University of Health Sciences” or “Karl Landsteiner Privatuniversität für Gesundheitswissenschaften” as the affiliation in their publications in printed and electronic form (journal articles, monographs, conference and book contributions, online publications, etc.).
Regarding the order in which the affiliations are stated, the “Karl Landsteiner University of Health Sciences” or “Karl Landsteiner Privatuniversität für Gesundheitswissenschaften” is to be mentioned first and the other details should occur according to the organizational structure as set out in Appendix 1 of the Affiliation Policy. In any case, the city and the country should also be mentioned.
Scientifically active employees at the University Hospitals of the KL are obliged to state a double affiliation: besides the KL, the University Hospital must be listed as an additional affiliation, and the NÖ Landesgesundheitsagentur as the legal entity of the University Hospitals must be shown in the acknowledgement.

Scope
The policy approved by the Rectorate/Senate applies to all employees of the University as well as to the employees of the University Hospitals of the KL, including visiting professors, research fellows, visiting PhDs and others who have contributed to publications during a research stay. It also applies to former employees of the KL who, after moving to another institution, complete and publish the research work started at the KL/at a University Hospital.
The KL also recommends its bachelor, master and doctoral students to follow this policy, especially if they are employed by the university. The supervisors are requested to make their students aware of this policy and, if necessary, to check that the policy is being followed. It is recommended that the policy be included in the supervisory/dissertation agreements to ensure greater adherence.

Appendix 2: Recommendation for ORCID
Whenever possible, include your ORCID (Open Researcher and Contributor ID) for publications. If you do not have an ORCID yet, register for free at https://orcid.org/. Your ORCID clearly identifies you as the author or contributing person in the context of publication activities, i.e. your scientific publications will not be mistakenly ascribed to anyone with a similar or identical name (see also problems with umlauts, "sharp S" in names, name changes, etc.). Together with the components of the Affiliation Policy from Appendix 1, please also ensure that your publication is clearly assigned to your University Hospital, your department, etc. and is therefore clearly affiliated with the KL.
An ORCID makes your research output more visible and listing your publications (also under parallel or previous affiliations - ORCID is independent of institution) becomes easier. You can use interfaces to other "Researcher IDs" free of charge, e.g. to your "Scopus Author ID" (Elsevier) or your "Web of Science ResearcherID" (Clarivate Analytics). However, in contrast to these two identifiers ORCID is not proprietary and has open interfaces to many other systems through which your publications can then also be imported into your ORCID profile: e.g. Pubmed, BASE, CrossRef.
The KL's OpenCampus system will soon also be linked to ORCID, which means that your publications which are connected to your ORCID can be automatically loaded into our publications database - and that in turn leads to a more complete picture of the KL's research achievements.
Your ORCID-profile: Indication of your affiliation in your "Biography"
To specify your affiliation in your "Biography" under "Employment", click on "Add employment" in the top right corner:
Select the “Karl Landsteiner University of Health Sciences” as your organization from the selection menu on the left. Then add your department on the right (e.g. your department, your University Hospital, your clinical department) manually in the field provided, ideally according to the specifications in Appendix 1:
In order for the interface to successfully assign your publication between ORCID and OpenCampus and also in terms of the visibility of your scientific output to the outside world, we ask you to set the “visibility settings” in your ORCID profile especially for your publications to “public” or “everyone”.
In the “Works” area, you can automatically record your publications by entering the PubMed ID or the DOI. The metadata of the publication in question are then loaded via PubMed or the DOI database.
In addition, you can configure your ORCID profile using the “Search & Link” option so that publications containing your ORCID are automatically loaded into your profile from various platforms such as PubMed, SCOPUS and others. If a publication has been successfully assigned to your ORCID, you will be informed via e-mail and you will have to confirm the correctness of the assignment once again. The publication in question will then be displayed immediately in the “Works” area of your ORCID profile.
The “Search & Link” option offers, among other things, the possibility of linking your ORCID with PubMed, SCOPUS, CrossRef and DataCite for an automated import of publication data. We recommend the use and one-time configuration of these import options, as new publications are automatically imported into your ORCID profile if they can be successfully assigned to your ORCID.
A manual entry of publication data using the "Add manually" option is categorically possible. However, if a DOI does exist or in the case of publications that can be found in PubMed, we recommend the automated import of the data via DOI or PubMed ID or activation of the “Search & Link” option.
